Revert Record Data

Revert Record Data takes a Record's field values back to how they were at an earlier point, using the change history DocMgt already keeps for every field. It is on the Record screen under the Admin Actions menu in the footer and is available to Administrators who can edit the Record.


Choosing the point

The left side lists the Record's saves, newest first. Each entry shows when the save happened, who made it, how many values it wrote and which fields. Click an entry to see what reverting to just before that save would change. If the change you want is older than the list shows, or you know the moment, enter a date and time
under "or before" and click Preview. The Record is compared to its state just before that moment.


Reviewing the preview

The right side lists only the fields that differ from the chosen point:

  • Current Value - what the field holds now. "(not present)" means the field was removed after the point and will be added back.
  • Restore To - the value that will be written. Hover for when it was set and by whom. "(remove - added after this point)" means the field did not exist at the point and will be removed.
  • Action - Update, Insert or Delete. "Not reverted" rows cannot be changed safely and stay as they are; the reason is shown in the Restore To column.


Untick any field you want to keep. Fields that were not changed since the point are not listed and are never touched.

Applying

Click Revert N Fields and confirm. The values are saved like any other edit: each change is logged in the field's history, the Record's changed date is updated, and a Record Note records the
revert. Because the revert is itself a logged change, you can revert it in turn.


What is not covered

  • Data stored on individual documents is not included. Only the Record's fields and line items are. A field that holds several values at once is skipped. Use the field's own Data Change Report to restore individual values.
  • A field that was last changed before change logging began cannot be restored to that earlier value. Documents, notes, workflow and e-forms are not reverted. This applies to the Record's data only.
