Portal Actions let workflow create and manage Collaboration Portals for the active Record without anyone opening the Record. They need the Collaboration feature to be licensed, and the Record Type must have collaboration turned on.

  • Create Portal Package — creates a portal from a template, emails the invitation, and can tie the portal to the workflow step so the outside user's buttons drive the workflow.
  • Delete Portal Package — removes portals made from a given template.
  • Set Portal Package Expire — changes the expiration date of portals made from a given template.
  • Re-Open Portal Package — sets or clears the re-open flag so a completed portal shows its contents again.


The Delete, Set Expire, and Re-Open actions all find portals by template and can act on the first match or every match in the Record.
