The General section holds the template's name and the three settings that control how the portal opens, completes, and is secured.

Name

The name of the template. It is shown to internal users when they pick a template from the New Portal dropdown on a Record, it is the default subject of the invitation email, and it is the browser tab title when the portal is open.


Auto-Open

Controls what the user sees first when the portal opens.

  • Show List of Items — the portal opens on its panels and the user chooses what to work on. This is the default.
  • Auto-Open Single Item — if exactly one item is left to do across the whole portal, the portal opens it straight away: a remaining E-form opens for filling in, a single shared document opens in the viewer, and a single required document shows its upload panel. When more than one item remains the portal behaves like Show List of Items.
  • Auto-Show Single Panel — if the portal has only one kind of content (only shared documents, only required documents, or only required E-forms), that panel is expanded automatically instead of collapsed.


Auto-Complete

Controls how the portal is finished. This setting only matters when the portal is tied to workflow, which happens when it is created by the Create Portal Package workflow action with its Workflow option ON.


  • Require User Completion — when all required items are done, the workflow buttons appear and the user must click one to finish. This is the default.
  • Auto-Complete on Last Item — as soon as the last required item is done, the portal clicks the workflow button marked as the default complete button for the user. The button must be one the portal is allowed to show, so check its Portal Options on the workflow step as well. If no default complete button is available the portal falls back to requiring the user to click.


Be careful with auto-complete. A user saving the last E-form does not always mean they are finished with it, and once the workflow moves on they may not be able to change their answers.


Security

Controls what the user must enter to open the portal.

  • No Security — the link opens the portal directly.
  • Password Only — the user enters the portal's password. Each portal gets its own password, generated when it is created or set by hand.
  • Email and Password — the user enters an email address and the password. The email must match one of the portal's recipient email addresses; anything else is refused.


Passwords are not case sensitive. The email address and password can be included in the invitation email, which is convenient but not secure, so leave them out of the email when the portal holds sensitive information.
