The Email Settings section designs the invitation email that tells people a portal is waiting for them. The template supplies the defaults; each portal created from it can change them before the email goes out.

From Address

The address the email appears to come from, and the address that receives any reply. Leave it blank to use the system's default from address.

Email Subject

The subject line. Leave it blank and the portal's name is used.

Use Email Template

When ON, the message is wrapped in the system's standard notification email template, so it carries the same header and styling as other DocMgt emails. Turn it OFF to send the body exactly as you wrote it.

Email Body

The body of the message. This is a rich text field, so you can use colors, fonts, and links, and you can use variables to pull values from the Record. If the body is left blank the portal's Instruction Header is used instead.

The link to the portal and its password are added to the bottom of the body automatically when the portal's Include Link in Email and Include Password in Email switches are ON. If you would rather place them yourself, turn those switches off and use the [PACKAGEURL] and [PACKAGEPASSWORD] variables in the body. See Collaboration Variables under Variable Replacement.

Settings that live on the portal, not the template

When a portal is edited from a Record, its Email section also has Recipient Emails, one address per line, and the Include Link in Email and Include Password in Email switches. The recipient list is also what the Email and Password security option checks against, so a person can only log in with an address that is on this list.
