The Line Item Matching action allows you to compare 2 Records' data

Use this action to compare 2 Records and see if they match. You can configure regular (header) field and/or line item values that must match. It even supports setting how accurate the match must be by percentage.


Call this action from within one of the Records. Then have it find the other Record by ID or by search. 

Search


    • Search In - The Record Type to search in for the Record to with which to compare the current Record.


    • By Record ID- The Record Type to search in for the Record to with which to compare the current Record.


    • Search For - The fields to use for searching for the other Record. If you know the other Record's ID you can enter it into the Record ID field.


    • Header Matching Rules - The header fields that must match between the 2 records. Use the Deviation field to specify how closely the values must match. The Deviation must be between 0 and 1 and is expressed in terms of a percentage. A value of 0 here would mean there can be no deviation between the 2 Record's values. A value of .05 would mean there can be a 5% deviation between the 2 Record's values.


    • Line Item Matches - The line item fields that will be used to find matching line items between the 2 Records. Normally you would use a line item field that is unique or a combination of 2 or more fields that are unique. When matching line items are found between the Records then the other field values specified in the Line Item Matching Rules (below) section will be compared.


    • Line Item Matching Rules - Once a line from the Records is matched above, these are the rules that specify whether or not the lines are actually "equal". For instance, you may specify that the line item field "Part Number" is used above to find matching lines. Then you might specify "Amount" in this section to compare the amounts of the line items have having matching part numbers. If the amounts match for each Record then we are OK. If not then we have an "error" in matching. 


    • Error Field - Any errors or mismatches between the 2 Record is logged into this field. You can inspect the field to see if it is empty. If not empty then you have errors, If empty the Records match.



NOTES:



  1. The system can only validate Records one-to-one. If you have multiple Records that combine to match another Record you cannot use this. However, maybe you could merge the Records together into a single one for comparison.
  2. If either Record has a line item that is not found in the other Record that is considered an error.
