Work Trigger Action Types
Record Actions
- Record Field Update - Add, update or delete a field in the Record.
- Record Multi Value Update - Add, update or delete multiple variables in the Record in one action.
- Rename Record Field - Renames a field in the Record.
- Add Record Note - Add a note to the currently routed Record.
- Copy Record - Creates a New Record with a copy of the Referenced Record's Data.
- Create Record - Creates a new Record and optionally routes it.
- Delete Record - Deleted the current Record or a Record by its ID.
- Search and Update - Search for values in other Records and update values in the current Record with the results.
- Search and Calculate - Calculate SUM, AVG, MIN, MAX and COUNT from searched record values.
- Search and Create - Search for values in other Records and create new Records based on those values.
- Search and Create CSV - Adds data from all Records in a search to new or existing CSV document.
- Search and Run Action Set - Runs an Action set against each Record found in search.
- Search and Run Actions - Runs a series of actions against each Record found in search.
- Move/Copy Data - Moves or Copies data between Records.
- Set Active Record - Switches the current Record context to another Record so further workflow actions will operate on that Record instead of the current Record.
- Add Record Hold - Adds a hold of the specified type to the Record.
- Remove Record Hold - Removes a hold of the specified type from the Record.
- Lock / Unlock Record - Locks/Unlocks a record so only the specified user can make changes.
- Set Record Thumbnail - Sets the current Record's thumbnail to a specific Documents image.
Document Actions
- Merge Document Template - Merges available data into a predefined merge template.
- Merge Data into Document - Merges available data into an existing document.
- Convert Document to PDF - Converts an existing document in Record to PDF.
- Set PDF Conformance - Changes a PDF to one of the PDF/A conformance levels.
- Combine Existing Documents - Merges two or more documents together. The resulting merge will create a PDF file no matter what the original document formats were.
- Create ZIP File of Documents - Compresses one or more documents into a ZIP file.
- Apply Annotations to Document - Adds annotations to documents
- Change Annotation Properties - Changes existing annotations
- Remove Matching Annotations - Removes annotations that match specific criteria from documents
- Burn Annotations into PDF - Burns all annotations into selected Document(s) and converts to PDF
- Delete Document(s) - Deletes one or more Documents from Record that match criteria.
- Move / Copy Document - Moves or Copies one or more Documents to another Record by ID
- Create Document Share - Creates a Document Share based on specific Cat/Sub Cat/Name in current Record
- Change Document Properties - Changes the Category and/or Name of selected documents
- Document Field Update - Add, update or delete a field in the Document.

- Extract Document Data - Extracts values from XLSX, CSV files and DOCX and PDF forms

Messaging Actions
- Send Email - Send a custom email to valid email address(es)
- Send SMS Text Message - Send a custom text message to valid cell phone(s)
- Create Portal Package - Create a collaboration portal for the current record using the selected package definition
- Delete Portal Package - Delete a collaboration portal
- Set Portal Package Expire - Change the expiration date for a collaboration portal
- Re-Open Portal Package - Open a collaboration portal that was previously completed
Workflow Actions
- Cancel Work Item - Cancel the current work item and stop work item processing.
- Complete Work Item - Complete the current work item, moving to the next matching trigger (Follow Ups only, requires default complete action)
- Reject Work Item - Complete the current work item, moving to the next matching trigger (Follow Ups only, requires default reject action)
- Hide/Show Work Item - Hide or Show current work item from work item lists. Can be shown using the Show Hidden option in Workflow Console.
- Initiate Workflow Route - Routes the current Record again (creates new route path). Optionally can specify which Trigger/Process to start with.
- Parallel Merge - Merges a parallel workflow back into main workflow
- Direct Trigger Link - Sets the next trigger to be executed specifically instead of being evaluated normally
- Reassign to Default - Reassign the current workflow item to the default users/teams (Follow Ups only)
- Reassign to Users/Teams - Reassign the current workflow item to the specified users/teams (Follow Ups only)
- Set Due Date - Sets the Due Date
- Set Global Due Date - Sets the Global Due Date
- Throw Exception - Stops processing, undoes any actions possible and sends error back to user
- Work Item Variable Update - Add, update or delete a variable in the Work Item.
- Process Other Work Items - Complete, Reject or Cancel other work items
E-form Actions
- Create E-Form - Create an E-Form
- Approve E-Form - Approve an E-Form that requires approval.
- Lock E-Form - Lock the specified E-Form at this point in the workflow.
- Unlock E-Form - Unlock the specified E-Form at this point in the workflow.
- Update E-form Table - Adds, updates, or removes rows in an E-form table.
- Copy E-Form Table - Copies an E-form table into another E-form table.
Asset Management Actions
- Assign Asset - Assign the current Record (Asset) to a specific user
- Return Asset - Return the current Record (Asset) from assignment
- Cancel Asset Request - Cancels the current asset request
Reporting Actions
- Create System Report File - Runs the selected System Report and saves it into the active Record
- Create Record Report File - Runs the selected Record Report and saves it into the active Record
Indexing Actions
- Read OCR/Barcodes - Read the documents using OCR for indexing and for making documents full-text searchable
- Delete OCR - Deletes all full text (OCR) information for the routed Record or Document
- Auto-Split Records - Implements the Indexing Automation splitting logic to assign splits to the current Record's documents
- Auto-Split Commit - Commits an Auto-Split operation that was generated but not yet committed
- Auto-Index Record - Uses the Record Type's auto-indexing settings to assign values to the current Record
- Auto-Classify Documents - Auto-Classify documents using OCR and Bar Codes based on Record Type Auto-Classify Phrase settings
- Invoice Indexing - Used to map invoice fields to the proper Record Type fields. Machine Learning Automation OCR and SPLIT are required for this to work.
- Receipt Indexing - Used to map receipt fields to the proper Record Type fields. Machine Learning Automation OCR and SPLIT are required for this to work.
- Identity Indexing - Used to map ID (license, passport) fields to the proper Record Type fields. Machine Learning Automation OCR and SPLIT are required for this to work.
- Business Card Indexing - Used to map business card fields to the proper Record Type fields. Machine Learning Automation OCR and SPLIT are required for this to work.
- W2 Indexing - Used to map W2 fields to the proper Record Type fields. Machine Learning Automation OCR and SPLIT are required for this to work.
- Lookup Table Validator - Validates a value against a lookup table using enhanced matching techniques
- Lookup Table Reverse Validator - Validates a value against a lookup table using a reverse lookup strategy from the lookup table to the record in question
- Line Item Matching - Matches 2 Records' line items. Also supports header data matching.
Integration Actions
- QBO Bill Save - Saves current Record to QuickBooks Online
- QBO Check Lookup - Retrieves Check Number from QuickBooks Online for current Invoice Record
- QBO Account Sync - Synchronizes local DocMgt Account lookup data with QuickBooks Online
- QBO Class Sync - Synchronizes local DocMgt Class lookup data with QuickBooks Online
- QBO Vendor Sync - Synchronizes local DocMgt Vendor lookup data with QuickBooks Online
DocuSign Actions
- DocuSign - Send for Signature - Sends Document to be Signed via DocuSign
- DocuSign - Check Status - Waits for DocuSign to contact us to update the status of the Envelope
- DocuSign - Get Documents - Downloads documents from DocuSign Envelope
- DocuSign - Get Status - Manually gets the status of a DocuSign Envelope (Not recommended - should use "DocuSign - Check Status" action instead)
