W2 Indexing


The W2 Indexing action gives you a simple way to update your Record with the W-2 data that was extracted from your document image(s).


Use this action ONLY when you have OCR'd and SPLIT your documents using Recognize W2 Data mode. That mode reads the W-2 values and makes them available for use in this action.


W-2 forms are single-page records, so this action works with header-style fields only — no line items.


REQUIRES OCR: Documents must already be OCR'd in W2 Indexing mode. The action throws an error if it does not find W2 OCR data on the document.


What gets extracted


US IRS Form W-2 fields, including:

  • Employer name, address and EIN
  • Employee name, address and SSN
  • Tax year
  • Wages, tips and other compensation
  • Federal income tax withheld
  • Social Security wages and tax withheld
  • Medicare wages and tax withheld
  • State and local wage and tax figures


Options


Header Fields — This section lets you specify in which Record fields to write the W-2 data. For each data type, select or type the name of the field in which to write the value found on the form.


TIPS


  1. Make sure each W-2 has been split into its own document (one W-2 per document) before this action runs.
  2. The Default Date Format setting (Admin > Main Options > AI) governs how ambiguous dates on the form are interpreted.


NOTE ON (AI): Reading the W-2 with OCR/AI consumes tokens and may incur extra fees. Check with your sales rep for more information.
