Contract Indexing


The Contract Indexing action gives you a simple way to update your Record with the contract data that was extracted from your document image(s).


Use this action ONLY when you have OCR'd and SPLIT your documents using Recognize Contract Data mode. That mode reads the contract values and makes them available for use in this action.


This action works with two types of data — Header fields and Party entries.


Header — The contract-level values: title, identifier, execution and expiration dates, renewal date, jurisdiction.

Parties — Each named party on the contract. The action writes one Record line per party, so these map to line item fields.


REQUIRES OCR: Documents must already be OCR'd in Contract Indexing mode. The action throws an error if it does not find Contract OCR data on the document.


What gets extracted


Header fields:

  • Contract title
  • Contract ID
  • Date of execution
  • Date of expiration
  • Date of renewal
  • Jurisdiction(s)


Party fields (one per party):

  • Party name
  • Party reference (the role or description for that party)


Options


Header Fields — This section lets you specify in which Record fields to write the contract-level data.

Line Item Fields (Parties) — This section lets you specify in which Record line-item fields to write each party's data. For each party found on the contract, a line item is added to the Record using these field mappings.


TIPS


  1. Long, multi-page contracts work best when each contract is a single document. Split compound PDFs before running this action.
  2. The Default Date Format setting (Admin > Main Options > AI) governs how ambiguous execution, expiration and renewal dates are interpreted.
  3. Contracts with many parties (such as multi-party agreements) will create one line item per party — make sure your Record Type has enough line-item rows.
