A Public Document Viewer shows a document on a form used by people outside the organization. It is the counterpart to the Document Viewer, and it can only reach documents in records the site has been set up to expose - through Public Access, or through Collaboration for an external user who has signed in.


Choosing the document

Record ID - The record the document comes from. Leave it blank to use the record the form is open in.


Document Category, Document SubCategory and Document Name - Narrow it to the document wanted within that record.

A Public Search Results field can also hand this viewer its document: set that field's Document Viewer setting to this one, and picking a record in the results shows its document here.


What the reader may do with it

Allow Printing - Whether the viewer offers a print option.


Allow Downloading - Whether the reader can save a copy.

Both are on the honor system to a degree - anyone who can see a document on screen can photograph it - but turning them off removes the obvious routes and signals the intent. Decide them deliberately for anything sensitive: a statement a customer is meant to keep should allow both, while a document shown only for review or signature usually should not.


Reacting to it

Update when Viewer Activated - Sets another field to a New Value once the viewer has been opened. Point a Multi-Action at that field to act on it - record that the document was viewed, reveal the questions that follow, or enable a signature field only after the document has actually been opened. That last pattern is the usual way to make "I have read this" mean something.


Notes

The viewer shows nothing where the record is not exposed publicly, and it will not fall back to internal access. When a document does not appear on a public form, the record type's Public Access or Collaboration setting is the first thing to check, not the field.


For a form used by staff, use the Document Viewer instead - it offers annotations and a good deal more control over which document is shown.
