Record Summarizer

The Record Summarizer writes a plain-language narrative of a record — what it is, what has happened to it over time, and where it stands now. Where the Document Summarizer summarizes one document, the Record Summarizer summarizes the whole record's history.

How to access it

Open a record and choose Summarize Record Information from the record's menu. A dialog opens where you pick how you want it summarized.

Summary styles

Choose one of:

Full History — a narrative of the record's full history over time.

Recent Activity — focuses on the most recent activity and where the record stands now.

Outstanding — focuses on what is missing or still required.

Custom — you provide your own instructions for a tailored summary.

The result

The summary opens in a dialog showing the style used. You can Copy it or Re-summarize with a different style. The summary draws on the record's fields, documents and activity history.

How it runs

The Record Summarizer runs while you wait and returns the summary directly — there is no background/queued mode.

TIPS

  1. Outstanding is useful for at-a-glance status — "what still needs to happen on this record?" — before you pick it up.
  2. Use Recent Activity when returning to a long-running record to catch up quickly.

NOTE ON (AI): Summarizing a record sends its data to the AI and consumes tokens. This requires the Send Data to AI setting to be on, and may incur extra fees. Check with your sales rep for more information. Please verify all results, as AI can make mistakes.
