Workflow List Fields
A Workflow List shows the user their outstanding work items. It is the field that makes an E-form usable as a home screen or a departmental dashboard - what is waiting for me, what is waiting for my team.
It is for internal users, and it shows each person their own work.
Settings
Work Trigger to Show - Which workflow step's items to list, or All Work Triggers for everything waiting on the user.
Choose an actual Trigger here, not a Process. A Process is the container that holds the steps; work is assigned at the steps within it, so choosing a Process lists nothing. If a list comes up empty and the workflow is definitely running, this is the first thing to check.
Open Work Item - What happens when the user clicks an item.
Field Name - The name used to refer to the field in conditions and actions.
Display
View Mode - How much of each item is shown:
- Full - The most detail per item.
- Condensed - A tighter list, for fitting more on screen.
- Stacked - Items stacked for narrow spaces and phone screens.
Show Columns If Possible - Lays the items out in columns where there is room for them.
Icon Size - The size of the icons, used when the list is not in columns.
Building a home screen
A Workflow List sits naturally beside a Search Results field and a few Math Labels or charts: the list gives the user what they must act on, and the rest gives them the picture. Put each in a Panel with a heading, arrange them with Flexible Columns, and set the form to show on the home screen through its Where to Show settings.
Where the list should refresh while the form is open - a screen left up all day - a Timer set to a slow interval with a Refresh Form Data action keeps it current without anyone reloading the page.
