Configuring AI
AI is configured under Admin > Main Options in the AI section. The settings below control which AI features are available, how much they can be used, and what data they may see.
Important: AI is OFF until you turn it on. Each AI tier is enabled by entering a positive monthly token limit for it — End-User AI is enabled by the End User AI Limit and Builder AI is enabled by the Builder AI Limit. A limit of 0 (or any value of zero or below) leaves that tier DISABLED. There is no longer an "unlimited" option; you always choose a deliberate monthly ceiling.
Settings
- End User AI Limit — The maximum number of AI tokens End-User features may consume per month. Enter a positive number to ENABLE End-User AI; a value of 0 (or any value of zero or below) DISABLES End-User AI entirely. This pool covers AI Search, Document Summarizer, Record Summarizer, the AI Help Assistant, Draft Reply and Workflow Explainer. This MAX number should INCLUDE the base monthly tokens that come with your site.
- Send Data to AI — When ON, users may use features that send your tenant's data and documents to the AI (for example summarizing a document or drafting a reply). When OFF, those data-sharing features are unavailable. Note that administrative definitions you create — such as Record Type and E-form layouts — may still be sent to the AI as reference/context for Builder features regardless of this setting; this toggle governs user content (documents and record data).
- Builder AI Limit — The maximum number of AI tokens Builder features (Edit & Build with AI, Create an E-form with AI, Create a Merge Template with AI, SOW Builder) may consume per month. Enter a positive number to ENABLE Builder AI; a value of 0 (or any value of zero or below) DISABLES Builder AI and those features are hidden. There is no separate "Allow Builder AI" switch — Builder AI is turned on simply by setting a Builder AI Limit greater than zero. Builder usage is billed and tracked in a separate pool from End-User usage so it cannot interfere with the End-User experience or Workflow Processing.
- Default Date Format — How the AI interprets ambiguous dates (for example, is 05/06/2025 May 6 or June 5?) when extracting data from documents. Choose Auto - infer from document, Month/Day/Year (US) or Day/Month/Year (European). This can be overridden on individual workflow actions.
NOTE: AI limit checks happen at the START of each request, so a single large request that begins while you are just under the limit may finish slightly over it.
