Required Documents are files the outside user must upload before the portal counts as complete. Each entry becomes an item in the portal's Required Documents panel with an Upload Document button, and the user can also drag a file onto the item. Uploaded files are stored in the Record with the Category, SubCategory, and Name you define here.

Title

The heading of the Required Documents panel in the portal. Leave it blank for the default title.

Dynamically Adjust Portal Completion Status to Existing Documents

When ON, the portal checks the Record each time it loads and marks a required document complete if a matching document is already there, whether it was uploaded through the portal or added inside DocMgt. A required document that was completed but whose file is later removed or renamed goes back to not complete. When OFF, an item is only complete once someone uploads through the portal, and when editing a portal you can click the check icon next to an item to mark it complete or not complete by hand.

Adding and ordering items

Click Add to create an item and click an item to edit it. Items appear in the portal in the order shown here; drag the handle at the left of an item to reorder. Click the delete icon to remove an item.

Item settings

  • Description — the text shown to the user in the list. Leave it blank to show the document name.
  • Category, SubCategory, Name — where the uploaded file is filed in the Record. If the user uploads more than one file for the item they all get the same name.
  • Allow Change After Save — when ON, the item stays available after the upload and its button changes to Update Document, so the user can replace what they sent. When OFF the item moves to the Completed list and cannot be changed from the portal.

Dependencies

Each item can be hidden until the portal reaches a certain point.

  • Form Dependencies — the item is not shown until the listed E-forms have been completed in this portal. This is useful when you want to ask for a document only after the user has told you something on a form. It is often simpler to have the E-form itself prompt for the upload.
  • Value Dependencies — the item is only shown when the Record has the listed values. Enter a Field Name and a Field Value, or a Field Value and a Field Value To for a range.

Items whose dependencies are not met do not count toward the completion percentage, so a portal can reach 100% without them.
